How to Update Company Domains in HubSpot
The "Company domain name" property in HubSpot is more important than most teams realize. It's not just a text field — it's the engine behind several core HubSpot features. When company domains are wrong, incomplete, or inconsistent, things break in ways that aren't always obvious.
Understanding what the company domain property controls — and how to update it correctly — is essential for any HubSpot admin managing data quality.
What the company domain property controls
Automatic company-to-contact association
When a new contact is created in HubSpot (via form submission, import, or API), HubSpot looks at the contact's email domain and tries to match it to an existing company record's domain. If a match is found, the contact is automatically associated with that company.
If the company domain is wrong or missing, this auto-association fails. The contact either gets associated with the wrong company, or HubSpot creates a brand-new company record — adding to your duplicate company problem.
Company deduplication
HubSpot's duplicate detection uses the company domain as a key matching signal. Two company records with the same domain will be flagged as potential duplicates. If domains are inconsistent (one record has "acme.com," another has "www.acme.com," a third has "acme.co"), the deduplication logic can't connect them.
Data enrichment
If you use HubSpot's built-in company insights or a third-party enrichment tool (Clearbit, ZoomInfo), the company domain is often the lookup key. Enrichment tools use the domain to find firmographic data — revenue, employee count, industry, location. A wrong domain means wrong enrichment data, or no enrichment at all.
Tracking and analytics
HubSpot uses company domains to associate website visits with company records. If a visitor from "acme.com" hits your website, HubSpot can attribute that visit to the Acme company record — but only if the domain matches. Wrong domains mean missed attribution.
Common domain problems
Here are the most frequent issues with company domain data in HubSpot portals:
Formatting inconsistencies
The same domain appears in different formats:
acme.comwww.acme.comhttps://acme.comhttps://www.acme.com/http://acme.comACME.COM
HubSpot normalizes some of these automatically, but not all. The www. prefix and trailing slashes can cause matching failures.
Missing domains
Company records created manually or imported without a domain value have no domain at all. These records can't participate in auto-association, deduplication, or enrichment. In many portals, 20-40% of company records have no domain value.
Wrong domains
Data entry errors, bad imports, and sloppy manual work produce company records with incorrect domains. The company record says "Acme Corp" but the domain says "competitor.com" because someone pasted the wrong URL.
Subdomain confusion
Should the domain be "acme.com" or "app.acme.com"? HubSpot best practice is to use the root domain (acme.com) as the company domain. Subdomains should generally not be used in this field, as they can cause association issues.
Multiple domains for one company
Some companies legitimately operate multiple domains (think Google with google.com, alphabet.com, youtube.com, etc.). HubSpot's company domain field supports only one value. You need to decide which domain is the "primary" and handle the others through additional properties or notes.
How to update company domains
Individual record updates
For updating a single company's domain, open the company record and edit the "Company domain name" property directly. After saving, HubSpot will:
- Re-evaluate auto-association for contacts with that email domain
- Potentially trigger enrichment (if enrichment tools are watching for domain changes)
- Update the record's match criteria for deduplication
Bulk formatting fixes
For fixing formatting inconsistencies across many records, a search-and-replace approach is the most efficient method.
Removing "www." prefix:
Search for www. in the Company domain name property and replace with an empty string. This normalizes all domains to their root format.
Removing protocol prefixes:
Search for https:// and replace with empty. Then search for http:// and replace with empty. Two operations, each taking a minute or two.
Removing trailing slashes:
Search for domains ending in / and replace the trailing slash with nothing.
Lowercasing: If you have domains in mixed case, a search-and-replace pass to standardize casing prevents matching issues.
Here's what a domain formatting cleanup looks like in practice:
With SearchReplace, each of these operations takes a few minutes: search, preview the changes, confirm. The preview step is important here because domain changes affect auto-association — you want to make sure you're normalizing correctly before applying.
Filling in missing domains
For company records with no domain value, the approach depends on how many records are affected:
Small numbers (under 50): Look up the domain manually for each company and enter it.
Larger numbers: Export the companies without domains, use a tool or manual research to find the correct domains, and import the list back with the domain column populated. Third-party enrichment tools can automate the lookup step.
Ongoing prevention: Set up a HubSpot active list or workflow to flag company records where "Company domain name is unknown." This gives you a running tally of companies needing domain data and helps you catch new ones as they're created.
Domain migration (old domain to new domain)
When a company changes its domain (due to a rebrand, acquisition, or restructuring), you need to update the domain across all affected records. If it's a single company, edit the record directly. If it's a domain change affecting your own company and your contacts are scattered across records with the old domain, a bulk operation is warranted.
The process:
- Search for the old domain in the Company domain name property
- Replace with the new domain
- Preview to confirm the right records are being updated
- Apply the change
- Verify that contact auto-associations still work correctly with the new domain
After updating, check that contacts with email addresses at the old domain are still associated with the correct company. If contacts' email domains are also changing (separate operation — see our email domain migration guide), coordinate the timing so that auto-association works correctly after both updates are complete.
Domain formatting best practices
Establish a standard for company domains in your portal and enforce it:
Use root domains only. acme.com, not www.acme.com or app.acme.com. Root domains are the most reliable for matching and enrichment.
No protocol prefix. acme.com, not https://acme.com. HubSpot's domain matching works on the domain string itself.
No trailing slashes. acme.com, not acme.com/.
Lowercase only. acme.com, not Acme.com or ACME.COM. While DNS is case-insensitive, consistent formatting prevents matching edge cases.
No paths. acme.com, not acme.com/about. The domain field should contain only the domain.
Monitoring domain data quality
After cleaning up your company domains, set up ongoing monitoring:
Active list for missing domains. Create a list where "Company domain name is unknown." Review this list monthly and fill in domains as records are added.
Active list for formatting issues. Create lists that filter for common formatting problems:
- "Company domain name contains www."
- "Company domain name contains https"
- "Company domain name contains /"
These lists catch formatting issues as they're introduced, whether from imports, integrations, or manual entry.
Periodic full audit. Quarterly, export your company list and review domain values in a spreadsheet. Sort by domain to spot variations and inconsistencies that might not surface in individual list filters.
The downstream impact of clean domain data
Clean company domain data has a cascading positive effect:
- Better auto-association means contacts are linked to the right companies automatically
- Better deduplication means fewer duplicate company records cluttering your portal
- Better enrichment means more accurate firmographic data on your company records
- Better analytics means website visitor tracking matches to the right companies
- Better reporting means company-level reports reflect actual account activity
The company domain property is one of those foundational data points that, when it's clean, makes everything else in HubSpot work better. Investing time in domain data quality pays dividends across your entire portal.
