Setup Guide

Connect SearchReplace to HubSpot and review your first scoped preview.

1. Prerequisites

  • A HubSpot account. Free CRM supports the base contacts, companies, and deals workflow; CMS and custom-object access depends on the HubSpot products in your portal.
  • A SearchReplace account — sign up free
  • Super Admin or App Marketplace Access permission in your HubSpot portal

2. Create Your Account

  1. Go to searchreplace.com/signup
  2. Sign up with your email or Google account
  3. Verify your email address (check your inbox for the verification link)
  4. You start on the Free plan with 100 records per year — no credit card required

3. Connect Your HubSpot Portal

  1. From your SearchReplace dashboard, click Connect HubSpot
  2. You'll be redirected to HubSpot's OAuth authorization screen. Review the requested scopes:
    • Base CRM objects (contacts, companies, deals) — read and write access to search properties and apply replacements
    • Optional HubSpot access — tickets, CMS content, and custom objects are requested as optional scopes and granted only when the selected portal supports them
  3. Click Grant access in HubSpot
  4. You'll be redirected back to SearchReplace. Your portal now appears on the dashboard.

SearchReplace uses HubSpot's official OAuth 2.0 flow. We never ask for API keys or passwords. You can revoke access at any time from HubSpot > Settings > Integrations > Connected Apps.

4. Run a Search & Replace

  1. Select the object type you want to update (e.g., Contacts, Companies, Deals)
  2. Choose the property to search within (e.g., Email, Company Name, Deal Name)
  3. Enter your search term — supports exact match, substring, or full regex patterns
  4. Enter the replacement value — for regex, you can use capture group references like $1
  5. Optionally toggle case sensitivity or add property filters to narrow results
  6. Click Preview to scan matching records

5. Preview Changes

After clicking Preview, SearchReplace scans your HubSpot portal and shows every record that matches your search criteria. For each record, you'll see a side-by-side diff of the current value and the proposed replacement.

  • Review before-and-after values for the matched records returned by preview
  • Exclude individual records from the operation if needed
  • Verify the total count of records that will be updated
  • If something looks wrong, adjust your search pattern and preview again

6. Apply & Rollback

When you're satisfied with the preview, click Apply Changes to execute the operation. SearchReplace will:

  1. Retain original values for eligible completed changes
  2. Apply the replacement in batches with delays that reduce throttling risk
  3. Report the number of records successfully updated

Need to undo? Every operation can be rolled back from the operation history page while it remains eligible. Rollback attempts to restore retained before-values for records changed in that operation. Your rollback window depends on your plan (7 days on Free, up to 365 days on Enterprise) and requires an active authorized portal connection.

7. Disconnect / Uninstall

To disconnect your HubSpot portal from SearchReplace:

  1. Go to Dashboard > Portals and click Disconnect next to the portal
  2. Alternatively, revoke access directly in HubSpot under Settings > Integrations > Connected Apps

To uninstall the app from the HubSpot marketplace, go to HubSpot > Settings > Integrations > Connected Apps and click Uninstall. This revokes all OAuth tokens. Any existing rollback snapshots will be retained until your plan's retention window expires, then automatically purged.

8. Frequently Asked Questions

Is my HubSpot data safe?

Yes. We only store the specific property values changed during operations you run — just enough to enable rollback. We never store full CRM records. OAuth tokens are encrypted with AES-256-GCM at rest. See our Privacy Policy for details.

What OAuth scopes does SearchReplace request?

Contacts, companies, and deals read/write scopes form the base installation. Ticket, CMS content, and custom-object scopes are optional and are granted only when the selected portal supports them. We never request access to settings, workflows, or account administration.

Which HubSpot objects are supported?

Contacts, companies, and deals are available in the base workflow. Tickets, supported CMS pages and blog posts, and eligible custom objects appear only when the portal grants their optional scopes. SearchReplace exposes supported writable string, phone-number, and enumeration properties.

Can I use regex?

Yes — full regular expression syntax with capture groups and backreferences is available on the Professional plan and above.

What happens if something goes wrong?

Every applied operation snapshots original values before making changes. Eligible completed operations can be rolled back from operation history while the retained data and authorized portal connection remain available. The rollback window depends on your plan.
