How to Bulk Edit Companies in HubSpot
Company records in HubSpot tend to accumulate problems quietly. A few inconsistent industry labels here, some outdated domains there, a handful of company names that were entered differently by different reps. None of it seems urgent until you try to build a report segmented by industry and realize your data tells you nothing because "Software" and "Computer Software" and "SaaS" are three separate values that all mean the same thing.
This guide covers how to edit company records in bulk in HubSpot, what the platform's native tools can and cannot do, and how to handle the kinds of large-scale company data changes that come up during rebrands, migrations, and regular data maintenance.
The state of bulk editing for companies in HubSpot
Company records use the same list view interface as contacts. You navigate to Contacts > Companies, filter the list, select records, and click Edit. The same limitations apply:
- Bulk edit sets one property to one value — no conditional logic, no find-and-replace
- No preview of what will change
- No undo after saving
The "Select all" option works for larger sets but only for setting a uniform value. If you want every company in your filtered list to have the Industry set to "Technology," that works. If you want to change companies with Industry = "Computer Software" to "Technology" while leaving "Healthcare" companies alone, the native bulk edit cannot help. You would need to filter to just "Computer Software" companies first, then use bulk edit to overwrite the value.
That approach technically works for simple one-value-to-one-value changes. It breaks down when:
- You need to change a substring within a property (e.g., updating the domain portion of a website URL)
- You have multiple variations that need to converge to one standard
- You need to change values across multiple properties in the same pass
- You want to verify the changes before they go live
Scenarios that require bulk company edits
Industry standardization
HubSpot's default Industry property is a dropdown, but many portals have a mix of dropdown selections and free-text values from imports. Even within the dropdown options, HubSpot offers both "Computer Software" and "Information Technology and Services," which many companies use interchangeably.
If your go-to-market strategy segments by industry, inconsistent industry values directly impact your ability to target accounts, build reports, and allocate resources. A bulk update to standardize these values is one of the highest-ROI data cleanup tasks you can do.
Typical standardization mapping looks something like:
| Current value | Standard value |
|---|---|
| Computer Software | Technology |
| SaaS | Technology |
| Information Technology | Technology |
| IT Services | Technology |
| Tech | Technology |
Each of those requires a separate find-and-replace operation, but each one takes seconds to set up and preview.
Domain and URL updates
Company records often include a Website property, LinkedIn URL, or custom domain fields. When a company rebrands or changes its domain, these values go stale. In large portals, you might have hundreds of associated contacts, deals, and activities all referencing the old domain.
A substring find-and-replace on the Website property — changing oldname.com to newname.com — handles this in one operation. Unlike a CSV export where you risk corrupting URLs with encoding issues, a targeted substring replacement only touches the specific text that needs to change.
Company name changes after M&A
Mergers and acquisitions create some of the messiest company data in CRM. When Company A acquires Company B, you typically need to:
- Rename "Company B" records to "Company A" (or "Company A (formerly Company B)")
- Update the domain fields
- Standardize any custom properties that reference the old company name
- Update deal names and descriptions that mention the acquired company
The company rename itself is straightforward with bulk find-and-replace. The cascading changes to deals, contacts, and custom objects are where it gets complex, but each one can be handled as a separate operation with its own preview and rollback capability.
Address and location formatting
Company addresses come in from many sources: manual entry, form submissions, imports, enrichment tools. The result is a mix of formats:
- "New York" vs. "New York, NY" vs. "NYC"
- "United States" vs. "US" vs. "USA" vs. "U.S.A."
- "123 Main St" vs. "123 Main Street" vs. "123 Main St."
If your routing rules, territory assignments, or reports depend on location data, these inconsistencies create real problems. A series of find-and-replace operations to standardize to your preferred format is the most practical fix.
Cleaning up after imports and enrichment
Third-party data often arrives with its own conventions. Enrichment tools might populate the Industry field with values from their taxonomy, not yours. A data import from a previous CRM might use different field formats, abbreviations, or capitalization.
Rather than trying to fix the data before import (which adds complexity and delays), many ops teams prefer to import as-is and clean up afterward. Bulk find-and-replace makes this approach viable because the cleanup step is fast and reversible.
How to bulk edit companies with SearchReplace
Here's what that looks like in practice:
The workflow for companies follows the same pattern as other object types:
- Select Companies as the object type
- Choose the property you want to update (Name, Industry, Website, etc.)
- Enter your search term and replacement value
- Review the preview — every matching company record shown with current and proposed values
- Confirm the replacement
- Check the audit log for a complete record of what changed
For industry standardization, you would run multiple operations in sequence — one for each variation you want to map to the standard value. Each operation has its own preview and its own rollback, so if one mapping turns out to be wrong, you revert just that operation without affecting the others.
Tips for company data maintenance
Set up conventions early. If you define your standard Industry values, country formats, and naming conventions before your database grows, you prevent most cleanup needs. Document the standards and share them with anyone who creates or imports records.
Use dropdown properties where possible. Free-text fields invite inconsistency. If a property has a finite set of valid values, make it a dropdown or radio select in HubSpot. This does not help with existing messy data, but it prevents the problem from recurring.
Schedule quarterly cleanups. Even with good conventions, data drifts. Imports, enrichment, integrations, and manual entry all introduce variations. A quarterly review of your most important company properties — Industry, Location, Lifecycle Stage — catches problems before they compound.
Audit your integrations. If you have tools syncing data into company records (Salesforce, enrichment tools, marketing platforms), check what values they write and whether those values match your standards. An integration that writes "Info Tech" to Industry every time it syncs will undo your cleanup work.
Company data might not change as frequently as contact data, but when it needs to change, it usually needs to change everywhere at once. Having a tool that can handle that safely is the difference between a weekend project and a five-minute task.
