How to Handle a Company Name Change in HubSpot
A company name change sounds simple on the surface. Update the company record in HubSpot, and you're done. But anyone who's actually gone through this process knows that the company name doesn't just live in one place. It's embedded in deal names, contact properties, ticket subjects, email templates, workflow names, blog posts, landing pages, internal notes, and probably a dozen other places you haven't thought of yet.
Whether it's your own company rebranding, a key account changing its name, or a post-acquisition merger, the CRM impact is broader than most teams expect. This guide walks through a systematic approach to handling a company name change in HubSpot so nothing gets missed.
Here is what replacing a company name across hundreds of CRM records looks like in a single operation:
Where company names live in HubSpot
Before you start updating anything, you need a complete inventory of where the old company name appears. Here's a comprehensive list:
CRM records
- Company record: The company name property itself — the most obvious one.
- Company domain: If the domain is changing too, the "Company domain name" property needs updating.
- Contact records: The "Company name" property on individual contacts. This is a separate property from the associated company record's name. Many contacts have a text-field company name that was set during form submission or import and doesn't automatically sync with the associated company record.
- Deal records: Deal names often include the company name. "Acme Corp - Enterprise License Q1 2026" needs to become "Apex Industries - Enterprise License Q1 2026."
- Ticket records: Similar to deals, tickets often reference the company name in their subject line.
- Custom objects: If you use custom objects (subscriptions, projects, invoices), the company name may appear in their properties too.
Content and templates
- Email templates: Sales email templates and marketing email templates may reference the company name.
- Blog posts: If you've written case studies, partner announcements, or any blog content mentioning the company by name.
- Landing pages and website pages: Any CMS content that mentions the company.
- CTAs: Call-to-action buttons and banners may include the company name.
- Forms: Thank-you messages or form instructions that mention the company.
Automation and configuration
- Workflow names: Workflows named after the company ("Acme Corp Onboarding Sequence").
- Workflow content: Email actions within workflows that mention the company name in their subject lines or body text.
- Active lists: Lists named for the company or with the company name in filter criteria.
- Reports and dashboards: Custom reports filtered or named by company.
- Saved views: Index page views filtered by the old company name.
External references
- Meeting links: Scheduling pages that reference the company.
- Quotes: Any active quotes or quote templates mentioning the company.
- Snippets: Text snippets used by the sales team that include the company name.
- Chatflows: Bot scripts that mention the company.
The update sequence
Order matters. Updating things in the wrong sequence can cause confusion, broken associations, or inconsistent data. Here's the recommended order:
Phase 1: Company and contact records (day 1)
Start with the CRM data — this is the foundation everything else depends on.
1. Update the company record. Navigate to the company record in HubSpot and edit the Company Name property. If the domain is also changing, update "Company domain name" as well (see our guide on updating company domains for details on this step).
2. Update contact company name properties. This is where scale becomes an issue. If the company has 20 contacts in your portal, manual editing is fine. If it has 500 or 2,000 contacts, you need a bulk approach.
The "Company name" property on contact records is a text field — it doesn't automatically sync when you rename the associated company record. You need to update it separately.
To do this in bulk, search for contacts where "Company name" equals the old name, then replace with the new name. With a tool like SearchReplace, this is a 3-minute operation with full preview. Via CSV, it's a 30-45 minute export/edit/import cycle.
3. Update deal names. Filter your deals list for deals containing the old company name. Update each deal name to reflect the new company name. For bulk updates, a search-and-replace operation that targets the Deal Name property is the fastest approach.
4. Update ticket subjects. Same approach as deals — filter for tickets referencing the old name and update them.
Phase 2: Templates and content (days 2-3)
Once the CRM data is consistent, update any content that references the old name.
5. Email templates. In HubSpot, navigate to Conversations > Templates (for sales templates) and Marketing > Email (for marketing templates). Search for the old company name and update it. HubSpot doesn't have a built-in search across all email templates, so you'll need to check each one. For portals with dozens of templates, this is tedious but necessary.
6. Blog posts and website pages. If the company is mentioned in published content, you have two options: update the content to use the new name, or add an editor's note explaining the name change. For factual content (case studies, press releases), updating is usually better. For opinion pieces or time-stamped announcements, an editor's note may be more appropriate.
A bulk search-and-replace across blog post content can handle this efficiently — search for the old name in blog post body content and replace with the new name.
7. Landing pages and CTAs. Check any landing pages, CTAs, or forms that mention the company and update them.
Phase 3: Automation and configuration (day 3-4)
8. Workflows. Review and rename workflows that reference the old company name. Also check workflow email actions and branching conditions for hardcoded company name references.
9. Lists and views. Update any active lists or saved views that filter by the old company name. An active list with a filter "Company name is equal to Acme Corp" will stop matching after the rename — update the filter to the new name.
10. Reports and dashboards. Check custom reports for filters or titles that reference the old name.
Phase 4: Verification (day 4-5)
11. Global search. Use HubSpot's global search to search for the old company name. Any remaining references will show up here. Note that global search doesn't cover all property values, so some references may still be hiding.
12. Comprehensive property search. For thorough verification, search across all text properties on all object types for the old company name. This catches references that global search misses.
13. Check integrations. If the company appears in connected systems (Salesforce, Outreach, etc.), verify that the name change has synced correctly or make manual updates as needed.
When the rebranding company is your own
If your own company is rebranding, the scope expands significantly. In addition to everything above, you'll need to address:
- Connected email sending domain: Your HubSpot email sending domain may need updating in Settings > Marketing > Email.
- Portal name: The portal name in Settings > Account Defaults.
- User email addresses: If employee email domains are changing (see our email domain migration guide).
- Email signatures: Company-wide signature templates.
- All marketing content: Every email, page, and blog post that mentions your old brand.
- Legal pages: Privacy policy, terms of service on your HubSpot-hosted site.
- Social media accounts: Connected social accounts in HubSpot.
- Ad accounts: Any connected ad platforms showing your old brand.
This is a significantly larger project and typically takes 2-4 weeks to complete thoroughly.
Common mistakes to avoid
Updating the company record but not the contact property. The most common mistake. The company record says "Apex Industries" but 500 contacts still say "Acme Corp" in their Company Name text field. This causes confusion in reports, list filtering, and personalization tokens.
Forgetting about deal and ticket names. These are often overlooked because they're not property values that show up in standard reports. But they're visible to reps working those records daily.
Not updating workflow filters. A workflow that enrolls contacts where "Company name is Acme Corp" silently stops enrolling after the rename. No error is thrown — the workflow just stops matching, and new contacts from that company don't get the intended automation.
Rushing the process. A company name change affects more places than you expect. Spreading the work over a week — instead of trying to do everything in one afternoon — reduces the risk of missing something.
Not documenting what changed. Keep a record of every update you made, when you made it, and how many records were affected. This is invaluable when someone notices a remaining old-name reference three months later, or when you need to verify the scope of the change for compliance reasons.
Making it manageable
A company name change in HubSpot is a bigger project than it first appears, but it's entirely manageable with a systematic approach. The key is to treat it as a phased project rather than a single task:
- Inventory all locations where the old name appears
- Update CRM data first (company, contacts, deals, tickets)
- Update content and templates second
- Update automation and configuration third
- Verify with comprehensive search
- Document everything
For the CRM data updates — which are typically the largest and most tedious part — using a bulk search-and-replace tool cuts hours of manual work down to minutes. The content and configuration updates still require some manual review, but knowing that your CRM data is clean gives you a solid foundation.
