How to Bulk Update Email Signatures in HubSpot
Your company just moved offices. Or rebranded. Or changed its legal name after an acquisition. Maybe your VP of Sales just got promoted to CRO and the title needs updating across every outgoing email. Whatever the trigger, you are now looking at a pile of email signatures in HubSpot that all need the same update, and you are wondering how to do it without spending your afternoon clicking through user profiles one by one.
HubSpot's email signature management has improved over the years, but bulk updating signatures still requires more manual effort than it should. This guide covers how signatures work in HubSpot, the approaches available for updating them, and how to handle the related text and property changes that often come along with a signature update.
How email signatures work in HubSpot
Before you can fix the problem, you need to understand what HubSpot is actually doing with signatures.
Sales email signatures (CRM)
Each HubSpot user can set a personal email signature under Settings > General > Email > Edit Signature. This signature is appended to one-to-one sales emails sent from the CRM — the emails reps send directly from a contact or deal record.
The signature editor is per-user. There is no centralized signature template that applies to all users. If you have a team of 30 reps and need to update the company phone number in every signature, you are looking at 30 individual edits. HubSpot does not offer a "bulk update all signatures" button.
Admins can see and edit other users' signatures by going to Settings > General > Email, then switching the user selector dropdown at the top. But this is still a one-at-a-time operation.
Marketing email signatures
Marketing emails (sent through the Marketing Hub email tool) do not use the per-user signature. Instead, they use the signature block designed in the email editor, which pulls from company-level settings or is hardcoded in the template. These are easier to update centrally because you are editing a template, not 30 individual profiles.
Email templates
HubSpot email templates can include signature tokens like {{sender.signature}} that pull the sending user's signature dynamically. If you update a user's signature, templates using this token will automatically reflect the change. But templates that have a signature hardcoded in the template body will not update — you need to edit each template individually.
The challenge: signature text scattered across HubSpot
The real problem with signature updates is that the text you need to change is not just in the signature field. It tends to be scattered across multiple places.
User profiles. The signature HTML stored in each user's email settings.
Email templates. Templates with hardcoded signature blocks instead of dynamic tokens.
Saved snippets. Text snippets used by your sales team may include old contact information, addresses, or branding.
Sequences. Automated email sequences may have signature information baked into individual sequence steps rather than pulled dynamically.
Knowledge base articles. "Contact us" sections often include phone numbers, addresses, and other information that changes during a rebrand or office move.
Blog posts and landing pages. Author bios, contact information in CTAs, and footer content may all reference the old information.
When the CEO's title changes, you might need to update it in her email signature, three email templates where it is hardcoded, two sequences, and a dozen blog author bios. That is the actual scope of the work.
Approaches to bulk updating signatures
Approach 1: Manual user-by-user updates
The straightforward method. Go to Settings > General > Email, switch to each user, edit the signature, save.
When this works: You have fewer than 10 users and the change is simple (updating a phone number or address).
When this fails: You have more than 10 users, you need to make the same change across multiple content types beyond just signatures, or you need to verify that every instance was caught.
Approach 2: HubSpot API for user signatures
The HubSpot Settings API allows you to programmatically read and update user email signatures. You can write a script that fetches all user signatures, performs a find-and-replace on the HTML, and writes them back.
The endpoint is GET /settings/v3/users/{userId} to read and PUT to update. You will need the settings.users.write scope on your private app.
This works but has the same problems as any custom script: you need to write it, test it, handle errors, and accept that there is no built-in undo mechanism. If your regex is wrong and you mangle the HTML in 30 signatures, you get to fix them all manually.
Approach 3: Centralized signature management with Data Hub
If you are on HubSpot Data Hub (formerly Operations Hub) Professional or Enterprise, you can build a workflow that uses a custom code action to set user signatures programmatically. Some teams create a central signature template (stored as a custom property or in an external system) and push it to all users on a schedule.
This is a good long-term solution for keeping signatures consistent, but it is overkill if you just need to make a one-time change.
Approach 4: Find and replace across content
For the broader problem — updating signature-related text across templates, snippets, blog posts, and other content — a find-and-replace tool is the most efficient approach. You search for the old text string (old phone number, old address, old title) and replace it with the new one across every object type where it appears.
This is where SearchReplace fits. Here's what replacing an old email domain looks like across your contact records:
Instead of hunting through templates, sequences, and blog posts one at a time, you can search for the old string across all your content, preview which records contain it, and replace them in one operation.
A practical workflow for a company-wide signature update
Here is the approach I recommend when you need to update signatures and related content across your entire HubSpot portal.
Step 1: Inventory the changes
Make a list of every string that needs to change. For an office move, this might be:
- Old street address to new street address
- Old phone number to new phone number
- Old ZIP code to new ZIP code
For a rebrand, the list might include:
- Old company name to new company name
- Old domain to new domain
- Old logo URL to new logo URL
- Old tagline to new tagline
Step 2: Update user signatures centrally
Start with the user email signatures in HubSpot settings. If you have fewer than 15 users, manual updates are reasonable. For larger teams, use the API approach or a centralized signature management workflow.
When editing signatures, use the HubSpot signature editor rather than pasting raw HTML. The editor generates cleaner markup and handles mobile rendering better.
Step 3: Find and replace across templates and content
Run a find-and-replace operation for each old string across your CRM and CMS content. For each operation:
- Search for the exact old string
- Preview all matches to confirm they are all legitimate
- Replace with the new string
- Verify a few records manually to make sure the change looks right
For address changes, search for both the formatted version ("123 Main St, Suite 400") and any partial variations ("123 Main St") that might appear in different contexts.
Step 4: Check sequences and snippets
Sequences and snippets are easy to forget. Go to Conversations > Snippets and review each one. For sequences, go to Automation > Sequences and open each active sequence to check the email steps.
If you are using SearchReplace, blog posts and CMS pages are searchable. Sequences and snippets are stored differently in HubSpot's data model, so you may need to review those manually or through the API.
Step 5: Update marketing email templates
Open your marketing email templates and check for hardcoded signature blocks, footer addresses, and contact information. Update the template, send a test email to verify rendering, and save.
Step 6: Verify and document
After making all changes, send a test email from the CRM (one-to-one) and from the marketing email tool to verify signatures render correctly. Check on both desktop and mobile.
Document the changes you made and when. If someone asks "when did we update the phone number in signatures?" six months from now, you want the answer readily available.
Common mistakes to avoid
Forgetting about HTML entities. Email signatures are stored as HTML. If your old address includes an ampersand or special character, it may be stored as & in the HTML. Your find-and-replace needs to account for the HTML-encoded version, not just the plain text version.
Breaking signature formatting. When editing signature HTML directly, it is easy to accidentally delete a closing tag or break a table cell. Always preview the rendered signature after editing.
Ignoring sent emails. Emails already sent will still have the old signature. There is nothing you can do about that — you cannot edit emails already delivered. But you can update any email drafts that are saved and waiting to be sent.
Missing sequence steps. Active sequences with enrolled contacts will send the old signature for any steps that were already queued before you made the change. Pause active sequences, update the templates, then resume.
Keeping signatures consistent over time
The best approach to avoiding future bulk update headaches is to minimize hardcoded signature content.
Use HubSpot's personalization tokens ({{sender.first_name}}, {{sender.jobtitle}}, {{sender.phone_number}}) wherever possible. When a user's title changes, you update it in one place — their user profile — and every template using the token reflects the change automatically.
For company-level information like addresses and phone numbers, store the canonical values in company settings and reference them from templates. This way, an office move requires updating one central record instead of dozens of templates.
Dealing with outdated text across your HubSpot content? SearchReplace lets you find every instance of old branding, addresses, or phone numbers and update them in one bulk operation.
