How to Bulk Edit Number Properties in HubSpot
Number properties in HubSpot drive some of the most important workflows in a CRM — lead scores, annual revenue, employee counts, contract values, deal amounts. When these fields need updating at scale, HubSpot's built-in tools leave a lot to be desired.
You can bulk edit certain properties from a list view, but the experience with number fields is clunky. There's no way to apply math operations (add 10%, multiply by a factor), no search-and-replace for specific values, and no preview of what will change before you commit. For anything beyond trivial updates, you're stuck exporting to CSV, editing in a spreadsheet, and re-importing — praying nothing breaks on the way back in.
This guide walks through the common scenarios that require bulk number property edits, the native options available, and a faster approach.
Common scenarios for bulk number edits
Number property updates come up more often than most teams anticipate. Here are the situations that tend to trigger them:
Annual revenue corrections. A data enrichment tool populates revenue figures in one currency, but your team works in another. Or the source data is off by a factor of 1,000 because the provider uses "thousands" notation and HubSpot expects raw numbers.
Lead score resets. You've rebuilt your scoring model and need to zero out the old scores or set a new baseline across thousands of contacts. HubSpot's scoring properties recalculate automatically, but custom number properties used for manual scoring don't.
Employee count updates. After an enrichment import, you discover that a segment of your company records has employee counts formatted as strings ("500+") in a field that should be purely numeric. The non-numeric records need cleaning.
Contract or deal value adjustments. A pricing change affects hundreds of open deals. Maybe a discount was applied incorrectly, or a currency conversion needs to be reflected across all active records.
Custom object quantities. If you use custom objects to track inventory, licenses, or subscriptions, bulk number updates are a regular requirement — and HubSpot gives you even fewer tools for custom object editing than for standard objects.
What HubSpot offers natively
HubSpot provides a few built-in options for bulk editing, but each has significant limitations when it comes to number fields.
Inline editing from list views
You can select multiple records from a contact, company, or deal list and click "Edit" to modify a property across all selected records. This works for setting every selected record to the same value — but that's it. You can set 50 contacts to a lead score of "0," but you can't selectively update only the records that currently have a score of "75."
HubSpot now has a "Select all" option that lets you select an entire filtered list, but the fundamental limitation remains: every selected record gets the same value, with no find-and-replace logic.
Import/export via CSV
The more common approach is:
- Export the records you want to update
- Open the CSV in Excel or Google Sheets
- Modify the number column
- Re-import with "Update existing records" selected
This works, but it introduces several risks. Number formatting varies between spreadsheet applications — thousands separators, decimal precision, and scientific notation can all corrupt your data on re-import. And there's no preview of the changes. You upload the file, HubSpot processes it, and you find out afterward if something went wrong.
Workflows
HubSpot workflows can set, clear, or copy number property values. You can even use simple math operations in workflow actions (available on Professional and Enterprise tiers). The downside: workflows are designed for automation, not one-time bulk operations. Setting up a workflow to run once against existing records, then deactivating it, is awkward and leaves unused workflows cluttering your account.
A better approach: search and replace for number properties
The fastest way to handle bulk number property edits is to use a tool built specifically for the task. SearchReplace lets you target number properties across any HubSpot object type — contacts, companies, deals, tickets, and custom objects — with full preview before any changes are applied.
Here's how a typical number property update works:
- Select the object type and property. Choose "Companies" and the "Annual Revenue" property, for example.
- Search for the current value. Enter the value or pattern you want to find. For exact matches, enter the number directly. For pattern matching (e.g., finding all values between 1000 and 9999), use a regex pattern.
- Specify the replacement value. Enter the new number.
- Preview the results. See every record that will be affected, with the current value and proposed new value side by side. No changes are made until you confirm.
- Apply and verify. Once you confirm, the updates are applied in bulk with automatic rate-limit handling. Every change is logged in your audit trail.
The critical advantage is the preview step. With CSV imports, you don't see the impact until after the import finishes. With SearchReplace, you review every single change before it happens.
Practical example: cleaning up revenue data
Suppose your company records have annual revenue values that were imported in "thousands" notation — a company with $5 million in revenue shows as "5000" when it should be "5000000." You need to multiply affected values by 1,000.
With the CSV approach, you'd export all company records, add a formula column in your spreadsheet, apply the multiplication, delete the original column, rename the formula column, save as CSV, and re-import. The whole process takes 30 to 60 minutes and there's no undo if you make an error.
With a search-and-replace approach, you can identify the affected records by their value range, preview the corrected values, and apply the change in minutes. If something looks off in the preview, you adjust your search criteria before anything is written. And if you apply the change and notice an issue afterward, rollback is one click away.
Tips for working with number properties at scale
Regardless of which method you use, keep these best practices in mind:
Always check the property type first. HubSpot has both "Number" and "Calculation" property types. Calculation properties are read-only — they're computed from other properties and can't be edited directly. Make sure the property you're targeting is actually a writable number property.
Watch for decimal precision. HubSpot number properties can store decimal values, but the display format in the UI may round them. If you're working with currency values, verify that your edits preserve the precision you need.
Mind the null vs. zero distinction. An empty number property and a property set to "0" are different things in HubSpot. Filters, workflows, and reports treat them differently. When bulk editing, be deliberate about whether you're setting values to zero or clearing them entirely.
Use active lists to verify your changes. After a bulk edit, create an active list filtered by the property and value range you just modified. This gives you a quick sanity check that the right records were updated.
Test with a small batch first. If you're updating thousands of records, run the operation on 10 or 20 first. Verify the results, then proceed with the full set.
When number property edits signal a bigger problem
If you find yourself regularly doing bulk number edits, that's a sign that something upstream needs fixing. Common root causes include:
- No input validation on forms. Free-text number fields let reps enter anything. Switch to dropdown or constrained input where possible.
- Inconsistent import formats. Different team members import data with different number conventions. Standardize your import templates.
- Missing enrichment normalization. If a third-party tool pushes data into HubSpot, make sure it normalizes numbers to HubSpot's expected format before writing.
Fixing the source of dirty number data is always better than repeatedly cleaning it up. But when cleanup is needed — and it always is eventually — having a safe, fast way to do it makes the difference between a 10-minute task and a half-day project.
