How to Bulk Edit Contacts in HubSpot
Contacts are the most-edited object type in HubSpot. They are also the most painful to update in bulk. Whether you are fixing email domains after a company acquisition, standardizing phone number formats, or cleaning up job titles after a messy import, HubSpot's built-in bulk editing has hard limits that make large-scale changes impractical.
This guide walks through what HubSpot gives you natively, where it falls short, and how to handle the situations where you need to update hundreds or thousands of contacts at once.
What HubSpot lets you do natively
HubSpot's contact list view includes a bulk edit feature. Here is how it works:
- Navigate to Contacts > Contacts in the main navigation
- Use filters or a saved view to find the contacts you want to edit
- Check the boxes next to the contacts you want to update
- Click Edit in the toolbar that appears above the table
From there, you can set a single property to a single value for all selected contacts.
The real limitation: no find-and-replace
HubSpot now has a "Select all" option that lets you select the entire filtered list. But the bulk edit action only lets you set a property to one value. There is no find-and-replace. You cannot say "change the email domain from @oldcompany.com to @newcompany.com." You can only say "set the email to this exact value," which would overwrite every contact's email with the same string. That is almost never what you want.
What bulk edit cannot do
HubSpot's bulk edit has significant gaps:
- No find-and-replace — You can set a value, but you cannot search within existing values and replace a substring
- No pattern matching — Cannot target contacts where a value matches a specific format
- No preview — Changes are applied immediately. No way to review what will change before it happens
- No undo — Once you click Save, the old values are gone. There is no bulk revert
- Single property only — You can edit one property per bulk action. Need to change two fields? That is two separate rounds
Common reasons for bulk contact edits
These are the scenarios that drive most bulk contact editing needs:
Email domain changes
When your company changes its domain, every employee contact in your CRM still has the old email. If contacts are companies you work with and their domain changed, you have external contacts with outdated email addresses. Either way, you need to swap @olddomain.com to @newdomain.com across potentially thousands of records.
The CSV approach works here but is risky. You export, do a find-and-replace in the spreadsheet, and re-import. But if your contact list includes people with personal email addresses (Gmail, Yahoo), a sloppy find-and-replace could accidentally modify those too. You need a targeted substring replacement, not a blanket overwrite.
Here's what a targeted email domain replacement looks like in practice:
Phone number standardization
International contacts bring phone numbers in dozens of formats: (555) 123-4567, 555.123.4567, 555-123-4567, +1 555 123 4567. Inconsistent phone formats break calling integrations, mess up deduplication, and make filtered lists unreliable.
Fixing this manually is tedious. Fixing it with a spreadsheet means writing formulas to detect and reformat each variation. With regex-based find-and-replace, you can write a single pattern that captures the digit groups and reassembles them into your standard format.
Job title cleanup
After importing contacts from another CRM, an event platform, or a purchased list, job titles are often inconsistent. You might have "VP of Marketing," "Vice President, Marketing," "VP Marketing," and "VP - Marketing" all meaning the same thing.
Standardization matters because your sales team uses job titles to prioritize outreach, your marketing team segments by title for campaigns, and your reports break down pipeline by role. If "VP of Marketing" is spelled four different ways, your segment counts are wrong.
Lifecycle stage corrections
Sometimes a workflow misfires or a bulk import sets the wrong lifecycle stage. You end up with 500 leads that should be marketing qualified leads, or customers that got reset to subscribers. Fixing this one by one is slow. The CSV method works but requires careful handling of the lifecycle stage values, which must match HubSpot's internal labels exactly.
Data appending after enrichment
After running contacts through an enrichment tool like Clearbit or ZoomInfo, you may need to clean up the appended data. Enrichment tools sometimes add industry labels, company sizes, or locations in formats that do not match your existing standards. A bulk find-and-replace lets you normalize the enriched data to match your conventions.
The faster approach
SearchReplace handles all of these scenarios through a single workflow:
- Connect your HubSpot portal via OAuth
- Select Contacts as your object type and choose the property you need to update
- Search using exact match, substring, or regex to find the records that need changing
- Preview every match with the current and proposed values side by side
- Replace with automatic rate-limit handling
- Roll back if anything looks wrong
The preview step is critical for contacts specifically because contact data has the highest stakes. A bad phone number is annoying. A bad email address means bounced campaigns and damaged sender reputation. Seeing every proposed change before it hits HubSpot is not optional — it is essential.
Working with large contact databases
For portals with more than 10,000 contacts, a few things are worth noting.
Filter before searching. If you know the change only applies to contacts in a certain lifecycle stage or with a certain company domain, narrow your search to that property value. Searching all contacts for a substring that only appears in a small set wastes time and makes the preview list harder to review.
Test with a small batch first. Before running a regex pattern across 50,000 contacts, test it against a filtered subset. Make sure the pattern matches what you expect and the replacement output looks correct. SearchReplace's preview shows every affected record, so you can verify before committing.
Plan for downstream effects. Contact property changes can trigger HubSpot workflows. If you have a workflow that fires when the "Phone Number" property changes, updating 10,000 phone numbers will trigger that workflow 10,000 times. Review your active workflows before running large operations and pause any that should not fire during the update.
When to use other tools instead
Bulk find-and-replace is not the right tool for every contact editing scenario:
- Deduplication — If you need to merge duplicate contacts, HubSpot's built-in duplicate management tool (or a dedicated dedup tool) is more appropriate. Find-and-replace changes values; it does not merge records.
- Calculated fields — If a property value should always be derived from other properties, use a HubSpot calculated property or a workflow instead of manually updating values that will just go stale.
- Net new data — If contacts are missing a property value entirely (it is blank, not wrong), you are looking at data enrichment, not find-and-replace.
For everything else — fixing, standardizing, reformatting, or migrating existing contact data — bulk find-and-replace is the most direct path from messy data to clean data.
