5 Tips for Better HubSpot Data Hygiene

Nathan··2 min read

Dirty CRM data doesn't just look bad — it breaks automations, skews reports, and makes your team look unprepared. Duplicate records, inconsistent formatting, and outdated information quietly erode everything your ops team builds. Here are five things you can do today to keep your HubSpot portal clean.

1. Standardize property values

Inconsistent data is one of the most common CRM problems. You might have "US", "USA", "United States", and "U.S." all representing the same country. Pick a standard and enforce it.

How to fix it: Use a bulk search and replace tool to find all variations and standardize them to a single value. With regex support, you can handle multiple patterns in one operation.

2. Merge duplicate records regularly

HubSpot has built-in duplicate management, but it requires manual review. Set a recurring calendar reminder to check for and merge duplicates at least monthly.

Pro tip: Before merging, export a list of potential duplicates so you have a record of what was combined.

3. Clean up unused properties

Over time, HubSpot portals accumulate properties that nobody uses. These clutter dropdown menus, confuse new team members, and make imports harder.

Audit your properties quarterly:

  • Check which properties have data in less than 5% of records
  • Ask your team which properties they actually use in reports and automations
  • Archive or delete the rest

4. Validate data on entry

Prevention is better than cleanup. Use HubSpot's property validation features to enforce correct formats at the point of entry:

  • Set required properties on forms and deal stages
  • Use dropdown menus instead of free-text fields where possible
  • Add validation rules to catch common errors (e.g., phone number formats)

5. Schedule regular data audits

Don't wait for problems to surface. Schedule a quarterly data audit to check for:

  • Records with missing critical fields (email, company name, etc.)
  • Stale records that haven't been updated in 6+ months
  • Properties with inconsistent formatting
  • Contacts with bounced email addresses

A clean CRM isn't a one-time project — it's an ongoing habit. The tools and processes you put in place today will save your team hours every week.
