Beyond HubSpot's Native Bulk Edit: Better Options

By SearchReplace··6 min read

HubSpot's built-in bulk edit feature is one of the first tools people reach for when they need to update multiple records. It's right there in the CRM — select some records, click "Edit," update a field. Simple. But anyone who has tried to use it for real data cleanup work has hit its limitations quickly.

This isn't a knock on HubSpot. Their bulk edit is designed for quick, small-scale updates. It was never meant to handle the kind of operations that data teams need for large-scale cleanup. Understanding those limitations is the first step toward finding the right tool for the job.

What HubSpot's native bulk edit can do

HubSpot's bulk edit lets you:

  • Select records from a list view — including a "Select all" option for the entire filtered set
  • Update a single property to a single value across all selected records
  • Work with most standard property types (text, dropdowns, dates, numbers)
  • Apply changes immediately with no additional steps

For quick tasks — like setting 20 contacts to "Marketing Qualified" or updating a handful of company records with a new owner — it works fine.

The limitations

No find-and-replace

HubSpot's bulk edit sets a property to a new value. It doesn't let you search for a specific value and replace it with something else. If you need to change "USA" to "United States" across all contacts, bulk edit can't do it — because it would overwrite every contact's country field, not just the ones that say "USA."

This is the critical gap. Find-and-replace is a fundamentally different operation from "set all selected records to value X." You need pattern matching to identify which records to change and what to change them to.

Limited property type support

Not all property types work with bulk edit. Calculated properties, read-only properties, and some custom property types can't be edited in bulk. The list of supported types varies and isn't always clearly documented.

No preview or undo

When you click "Update" in HubSpot's bulk edit, the changes apply immediately. There's no preview step showing you what will change, and there's no undo button. If you update the wrong property or apply the wrong value, your options are:

  1. Manually fix each record
  2. Import a CSV with the correct values (if you have one)
  3. Contact HubSpot support and hope they can help

For a small batch of records, manual correction is annoying but manageable. For larger operations, the lack of undo becomes a serious risk.

No regex or pattern matching

HubSpot's bulk edit has no concept of pattern matching. You can't use wildcards, regular expressions, or any form of conditional logic. Every selected record gets the exact same new value — there's no way to transform values based on their current content.

This means operations like reformatting phone numbers, extracting domains from emails, or standardizing address formats are completely out of reach.

What you actually need for bulk data cleanup

When HubSpot ops teams describe their data cleanup needs, the requirements usually look like this:

  • Find specific values across thousands or tens of thousands of records
  • Replace with corrected values based on what the current value is
  • Preview changes before applying them
  • Undo if something goes wrong
  • Handle large volumes without spending hours on manual batching
  • Log what changed for accountability and compliance

HubSpot's native bulk edit covers none of these requirements. It's a different tool for a different job.

How SearchReplace fills the gap

SearchReplace was built specifically for the operations that HubSpot's bulk edit can't handle.

Scale without limits

SearchReplace operates on your entire portal. A single operation can search and replace across all contacts, companies, deals, tickets, blog posts, or custom objects. Automatic rate-limit handling ensures you never hit HubSpot API throttling, regardless of how many records you're updating.

Real find-and-replace

Search for a specific value (or pattern) and replace it with something else. Only records that match your search are affected. Records that don't match are untouched.

  • Exact match: Find records where a property equals a specific string
  • Substring: Find records where a property contains a specific string
  • Regex: Find records matching a regular expression pattern, with capture groups for complex transformations

Preview before you commit

Every search shows you a row-by-row preview of affected records. You see the current value and the proposed new value for each record. You can exclude specific records from the operation. Nothing changes until you explicitly click Replace.

Rollback when you need it

Every operation stores snapshots of original values. If you need to undo a change — whether immediately or weeks later — one click restores everything. Rollback windows range from 7 days on the Free plan to 365 days on Enterprise.

Full audit trail

Every operation is logged: who ran it, when, what pattern was used, how many records were affected. The audit log is exportable for compliance, client reporting, or just answering the question "who changed these records?"

When HubSpot's bulk edit is enough

To be fair, HubSpot's bulk edit is the right tool when:

  • You need to set a batch of records to the same value
  • The change is simple and you're confident about which records to update
  • You don't need pattern matching or find-and-replace logic
  • You don't need undo capability

For quick, low-risk updates, it's faster than any external tool because it's built right into the CRM interface.

When you need something more

If any of these describe your situation, you've outgrown HubSpot's bulk edit:

  • You need to find specific values and replace them (not just overwrite everything to one value)
  • You need to find specific values and replace them (not just overwrite)
  • You need to preview changes before applying
  • You need the ability to undo bulk changes
  • You need pattern matching or regex for complex transformations
  • You need an audit trail of what changed and when

SearchReplace handles all of these, starting with a free plan that requires no credit card.
