Stop Using CSV Imports for HubSpot Bulk Edits

By SearchReplace··7 min read

If you've ever needed to do a find-and-replace across HubSpot records, you've probably been told to do the CSV dance: export your records, open the spreadsheet, make your edits, save as CSV, import back into HubSpot, map your columns, cross your fingers, and hope nothing broke.

It works. Technically. But it's slow, fragile, and comes with no safety net. If you're still using CSV exports and reimports for bulk data edits in HubSpot, there's a better way.

The CSV workflow, step by step

Here's what the CSV bulk edit process actually looks like in practice:

  1. Create a filtered view in HubSpot with the records you need to update
  2. Export to CSV — wait for HubSpot to generate the file and email you the download link
  3. Open in a spreadsheet (Excel, Google Sheets, or similar)
  4. Find and edit the values you need to change — manually or with spreadsheet find-and-replace
  5. Save as CSV with the correct encoding and formatting
  6. Import back into HubSpot using the import tool
  7. Map your columns to HubSpot properties
  8. Select "Update existing records" and choose the matching identifier
  9. Review and confirm the import
  10. Wait for processing — large imports can take minutes to hours
  11. Spot-check records to verify the changes applied correctly

That's 11 steps for what should be a single operation. And at every step, things can go wrong.

What goes wrong with CSV imports

Formatting breaks

Spreadsheet applications are notorious for reformatting data in ways you don't expect:

  • Phone numbers lose leading zeros or get converted to scientific notation (e.g., +44123456789 becomes 44123456789 or 4.41235E+10)
  • Dates get reformatted to your system's locale, which may not match HubSpot's expected format
  • ZIP codes with leading zeros lose them (01234 becomes 1234)
  • Special characters in company names or addresses get mangled by encoding issues
  • Long numbers (account IDs, reference codes) get silently truncated or converted to scientific notation

These issues are insidious because they're silent. Your import completes "successfully" but the data is corrupted. You won't know until someone notices a phone number that doesn't work or a ZIP code that's missing a digit.

Associations can break

When you export contacts, you get flat rows. The relationship between a contact and their associated companies, deals, or tickets isn't carried in the CSV in a way that survives a round trip. Reimporting can create duplicate associations, break existing ones, or silently lose association context depending on how you handle the import mapping.

No undo

Once a CSV import completes, the changes are permanent. HubSpot has no "undo import" button. If your import overwrites 10,000 phone numbers with mangled data, your options are:

  1. Re-export and manually fix — which starts the whole error-prone cycle again
  2. Restore from a backup — if you made one before the import (most people don't)
  3. Contact HubSpot support — who may or may not be able to help depending on your plan and the nature of the issue

It doesn't scale

The CSV workflow might be manageable for a few hundred records. But for portals with tens of thousands of contacts, the export takes time, the spreadsheet becomes unwieldy, and the import processing is slow. And you have to do this every time you need to make bulk edits.

Encoding landmines

CSV encoding is a minefield. UTF-8, UTF-8 with BOM, Latin-1, Windows-1252 — the encoding your spreadsheet saves in may not match what HubSpot expects. International characters, accented letters, and emoji in CRM data are especially vulnerable. A single encoding mismatch can corrupt every non-ASCII character in your import.

Column mapping errors

Every import requires you to manually map CSV columns to HubSpot properties. Get one mapping wrong and you might overwrite email addresses with phone numbers. HubSpot's import tool tries to auto-detect mappings, but it's not always accurate — especially with custom properties.

What SearchReplace does instead

SearchReplace eliminates the CSV workflow entirely. You search, preview, and replace directly against your HubSpot portal — no exports, no spreadsheets, no imports.

No export/import cycle

Connect your HubSpot portal via OAuth, select an object type and property, enter your search pattern and replacement value. That's it. No CSV files, no spreadsheet editing, no column mapping.

No formatting corruption

Because SearchReplace operates directly through HubSpot's API, there's no intermediate format that can corrupt your data. Phone numbers stay phone numbers. ZIP codes keep their leading zeros. Special characters pass through cleanly.

Preview before you commit

Before any changes apply, SearchReplace shows you every affected record with its current value and proposed new value, side by side. You review the changes, exclude any records you don't want to update, and then confirm. Nothing changes until you explicitly approve it.

One-click rollback

Every operation stores snapshots of original values. If something doesn't look right after applying changes — whether you notice immediately or days later — a single click restores all affected records to their pre-operation values.

Compare this to the CSV undo process (re-export, find the old values, reimport) and the difference is stark.

Full audit trail

Every operation is logged with who ran it, when, what search pattern was used, and how many records were affected. You have a permanent record of every bulk change — something the CSV workflow provides no equivalent for.

When CSV imports are still the right choice

To be clear, CSV imports aren't always the wrong approach. They're the right tool when:

  • You're importing net-new records that don't exist in HubSpot yet
  • You're doing a one-time data migration from another system
  • You need to update a property that doesn't support find-and-replace logic — for example, setting a field to a completely new value that isn't based on the current value
  • You're updating based on external data that lives in a spreadsheet already

CSV imports solve the problem of getting external data into HubSpot. They're not great at the problem of transforming data that's already there.

When to stop using CSV imports for edits

If any of these sound familiar, the CSV workflow is costing you more than it should:

  • You're exporting, editing, and reimporting regularly (weekly or monthly)
  • You've been burned by formatting issues in the past
  • You spend significant time on column mapping and import validation
  • You don't have a reliable way to undo import mistakes
  • You're updating thousands of records and the process takes hours
  • Multiple team members need to make bulk edits and you can't standardize the process

SearchReplace replaces the CSV workflow for in-place data transformations — the kind where you need to find specific values across your portal and change them to something else, safely and quickly.
